BUSINESS ELEMENTS module presents UPIS’s information subsystem that keeps track and controls all resources of a business enterprise and allows their allocation, classification and standardization. More precisely, this module holds the master data of personnel, partners, goods and fixed assets, as well as all master records, which in any way affect the functioning of the company or UPIS itself. Module is connected to all business areas and the functionality of information system depends on its richness and accuracy.
DOMESTIC TRADE covers activities of monitoring and management of purchase, sales and internal flows of services, goods and fixed assets on the domestic market and within enterprise itself. Business relations with partners are managed, starting from queries, offers, negotiation, to ordering, reception, delivery, manipulation of own ot third party goods in wholesale and retail; special tasks such as received and given commission and similar. Several models of supply and sales management are supported, including electronic and mobile sales, and for retail -work with cash registers and fiscal devices, all utilizing the bar code.
FOREIGN TRADE module includes recording, tracking, monitoring and import/export of services, goods and fixed assets. This module covers all aspects, from first contact with a partner, through request for proposal, offers, negotiation, conclusion, customs clearance, payment-billing and billing of work. Re-export and customs storage tracking are also supported, with creating of complete documentation and self-guided control ledger. This module is connected with the Shipping module by automatic exchange of data.
TRANSPORTATION module covers planning and transport of goods and fixed assets, maintenance and monitoring costs of vehicles, management of drivers and travel accounts, and accounting with invoicing of the transportation services. Planning of transport is visualized and graphic “loading” is enabled, with the arrangement of stops by routes and automatic creation of bill of lading. This module also tracks detailed costs by vehicles, drivers and tours with reports of expense’s totals and averages by various categories.
PLANNING & ANALYSIS documents expected movements of materials and fixed assets through their life time for each individual business system resource. Business functions of sales, manufacturing, maintenance and purchase are included, through which materials and fixed assets can be accounted in material and financial way. This module uses the subassemblies, bills of materials and expected price-lists for calculations and account balancing. Monitoring deviations of listed resources starting with the planned ones (budget), enables business processes management, and provides a very convenient overview of planned and realized production, via MS Project.
PRODUCTION DEVELOPMENT AND DESIGN records output specifications of development, design and construction of products, tools and manufacturing processes. Constructive and technological assemblies, recipes, technical Bills of materials and Technologies of fixed assets’ maintenance are all supported. Assemblies may have any desired number of levels, and include operations, materials (parts), fixed assets, tools, safety devices and materials, energy, fuels and work, with the possibility of obtaining unit or parity bills of materials, components and work. In other words, this module provides models for the purposes of planning, manufacturing and maintenance.
PRODUCTION module includes Production Order launching, preparation, execution and accounting for different types of manufacturing. Launching of PO is based on the Operative plans using assigned technologies, and on that basis Internal Movement Orders can be automatically formed by cost centers and warehouses, with the balance of materials, tools, safety tools and energy. Records of the production itself are made through the Work Lists with the desired level of details, such as shifts, machine lines, norms etc., while the cost and efficiency is recorded in the costs and efficiency accounting. A very attractive and useful visualization of the entire work is provided in MS Project.
MAINTENANCE MANAGEMENT module is information subsystem that monitors interventions on its own fixed assets and service providing. Any desired number of types of maintenance is supported, from operational to general overhaul in two aspects: preventive and corrective. Records are made by Work Orders – corrective by request and preventive on the basis of operational plans using defined technology procedures. For both aspects, based on the Work Order, the Internal Movement Orders are automatically created per cost centers and warehouses with accounting of parts. Calculation of costs and payroll are assigned to the appropriate accounts and cost centers.
QUALITY MANAGEMENT SYSTEM module includes definition and monitoring of all business processes according to the recommendations of a series of standards ISO 9000, with the emphasis on the work organization which provides quality products and services. It supports documentation and development of procedures, with graphical presentation of the process (workflow), in MS Visio, which is used as an active and easy visual way to manage business processes. In addition to procedures, it supports standards, guidelines, plans and records. Very important is standard for the automatic naming of materials on the basis of characteristics’ headings. UPIS meets the requirements of HACCP in the food industry or GMP in the pharmaceutical industry. Evaluation of partners, employees and the material quality control with laboratory testing is enabled, while the quality costs are allocated in the accounting.
WAREHOUSING module includes activities on the reception data recording and control of own and third party fixed assets, storage manipulation with materials and their delivery and distribution. Module supports organization of reception by the receiving areas and documents, with quantity and quality control. It also allows tracking of warehouse organization by positions (rack) and by documents, with the creation of ID cards that provide tracing, with possibility of recording materials by series, charges, serial numbers and expiration dates. Delivery and distribution are made based on the packing lists and dispatch notes with the possibility of making bill of lading by vehicles. Optimization and management of inventory by several models are enabled.
FINANCE AND ECONOMY module, covers tasks of providing the monetary funds, controlling the liquidity and profitability of the business. It enables accounting and financial assets management in local and foreign currency. It covers the booking office, account payments, interest calculation and exchange rate differences. Through B2B service it is connected with the banks and allows data exchange for automatic payments in defined time intervals. Several models of automated items closure are provided.
INVENTORY module gives an accurate overview of all company’s assets, regardless of whether it is ranked as fixed asset or small inventory. Monitoring covers their whole life time, from purchase, through their use up to their retirement. It calculates revaluation and depreciation of the assets. The history of the asset, in addition to accounting data, records all interventions on the asset in the form of machine cards, throughout the whole asset’s life time.
HUMAN RESOURCES manages the most important resource of the company from hiring, through movement and promotions, and to their departure from the company. This subsystem allows making all contracts for admission, scheduling, vacation, etc., as well as customization to the company specifics. System enables monitoring of the flow of personnel and working time recording.
PAYROLL module, relying on the personnel records, covers tasks of calculating all types of incomes, suspensions, taxes and fees. Calculations are made from gross to net, with the creation of all legal forms and reports. Electronic exchange of data with the banks is enabled. Elements for earnings calculation per norm are taken from the Work Lists, and for the administration personnel from the daily record of working time.
DECISION SUPPORT MANAGEMENT uses data warehouse on a corporation level and OLAP services to secure the information needed for the decision support. Data storage contains cubes that cover commercial, financial, and trading side of the business. CrystalReports and Excel are used for the data interpretation.
ACCOUNTING module keeps ledger records in value, financial analytics with multiple levels of detail, analytical records of taxes and contributions, including VAT with automatic balancing of input and output accounts. Financial analytics supports multiple levels of detail for records, such as accounts, organizational units, currencies, partners, employees, documents, contracts and work orders. Analytical records of taxes and contributions are kept on the level of account, tax account, organizational unit, and tax rate, and all types of taxes are supported, including value added tax (VAT). Bookkeeping is kept in both quantity and in value for raw materials, goods, products, parts… in retail, wholesale, consignation and commissioned warehouses. Stock is evaluated at wholesale, purchase, average, retail, planned prices depending of the type of the warehouse and accounting methods. Posting is automatic, based on the accounting model assigned to document types, balance and calculations are made by the model and user choices, and the reports are standardized.
CONTROLLING module keeps records of materials, goods, fuel and parts in quantity and value by cost/profit centers and monitors performance of production, maintenance and transportation. In other words, costs and efficiency accounting is a method of indirect and administration costs distribution to cost/profit centers, calculating profitability, and calculation of (production and commercial) product cost price. Budgeting is also supported, with various reports.
E-BANKING module covers banking transactions with individuals and companies, domestically and abroad. Multileveled banking organization, branch offices, and sub account system are supported. Tasks are encapsulated in transactions and work in real-time. Account, cash and equity transactions are available. Different interest rates and exchange rate differences are calculated. E-banking and personal banking are also provided.
